Wild Berry Associates are currently recruiting for a Secretary/Project assistant to provide full time administration duties for a busy Director based in London. The role will combine general secretarial duties with specific tasks to support the Director and their team.
* Providing support to the Director to assist them in achieving their responsibilities* Manage and prioritise Director's and Project diaries, particularly in relation to regular and impromptu meetings, as well as planning required timeslots for thinking, preparation and working time. Ensure Director ends and begins each meeting on time.* Manage email, flag for attention, filing, deleting, actioning follow-ups, forwarding and dissemination of information as appropriate* Liaising with senior level clients both internally and externally.* Become the known point of contact for the Director and Project* Co-ordination of internal and client meetings including tele/videoconferences* Co-ordination of lunches, entertainment events and booking external events* Preparation and production of external and internal correspondence (using Microsoft Word, PowerPoint and Excel)* Preparing agendas, presentations and papers for meetings, typing minutes/notes* Preparing rooms for meetings/workshops - e.g. catering, AV* Requesting, compiling, formatting and circulating reports* Downloading, uploading and printing material from/to internal job filing and extranet sites* Liaison with IT for support on electronic devices (laptops, iPad, phone, projectors etc.)* Processing timesheets and expense claims* Administrative support to project team* Handling confidential information* Assist with bidding and projects
